Review & Award of Roofing Bid

The meeting was called to order by the Chairman, James Gillig, at 7:35 p.m.

Paul Majkowski reviewed the roofing bid process. All contractors visited the library, went on the existing roof and were given time to voice questions or concerns. All bids were delivered on time including addendum. Paul, who had a set of eight standard questions for each, called all five chosen bidders. Each of the bidders were asked to check their bids for errors and all supplied signed documents stating they had done so. Paul felt all bids were competitive and two bids were within 1% with the remainder all within close range. The only variances were the project time and one bidder chose an alternate roofing membrane from what was recommended in the bid package. Paul felt all five are quality contractors who would do a good job, but recommended J.D. Candler Roofing Company as the lowest bidder.The board discussed the various bids. Paul explained that installing a 60 mil versus 50 mil membrane would provide no demonstrably better result or increased warranty.C. Young moved and C. Van Auken supported a motion to accept J.D. Candler's base bid of $174,597.00 for the library reroofing to include a $600 credit for copper recycling, for a total contract amount of $173,997. 4/08-1-1 The motion passed unanimouslyThe roofing project will continue as follows: PSI will provide Construction Administration Services to provide administration of the contract documents and will advise and consult with the library throughout the construction process.
